Intro to Users, Cards and Budgets

Learn how to add users, issue them cards and set their spending rules.

Once you have completed your sign up, you are ready to start onboarding your staff into your new expense management system!

This article will be your cheat sheet to setting up the three main components of Budgetly:

You will be taken through these in detail in your training sessions with our Onboarding Specialist, but this article is a quick guide if you want to get going beforehand!

Users

Users are where it all begins in Budgetly. They can make purchases, upload receipts and even assign categories to their transaction. You can either invite or add a user.

If you want to create another person that can add users, create budgets and manage everyone's transactions, you would make the user an Admin.

Cards

Once you have created your user, you can issue them a card.
You can order a card when you are creating the user or order it from the cards menu after you have created them.

Some admins like to create all their users without cards and order cards separately whereas others prefer to do it all in the user creation step. It is completely up to you!

Users can have multiple cards issued to them, if needed.

Note: A card can only be assigned to one user.

Once they receive the card, they can activate it by following these instructions.

Budgets

Now that you have created a user and ordered their card, it is time to set limits on how they can spend on their card within certain timeframes. Users can then easily track how much they have available to spend before and after making purchases.

Please note: Only Admins can create budgets.

Budgets act as limits for your users and will only draw from your available balance when a transaction is made.

Example: If you transfer $5000.00 into your Budgetly account and have one budget for $1000.00 a week, it will not automatically take $1000.00 from your $5000.00 balance.

$1000.00 is the most that user can spend in a week but if they only spend $500 that week, that is all that will be drawn from your overall account balance.

Make sure you add a bank account and deposit funds into Budgetly before spending.
