7 things to know about spending with Budgetly

Once your card is active and linked to a budget, you’re ready to spend. Here’s everything you need to know about managing your transactions.

1. Upload receipts

After a purchase, upload a photo or PDF of your receipt from the mobile app. Buddy AI can also attach receipts automatically if you email them.

2. Add GST to transactions

GST is extracted automatically on Premium plans. On Essentials, add it manually from the transaction edit form.

3. Assign categories, tags, and notes

Categorise transactions for reporting and Xero sync. Add tags and notes for extra context.

4. Switch your card’s budget

Your card spends from one budget at a time. Switch budgets from the app or desktop whenever you need to.

5. Request more money

If your budget doesn’t have enough funds, submit a money request to your admin or budget owner.

6. Understand why a transaction was declined

Common reasons include insufficient budget, company balance too low, incorrect PIN, or ATM access disabled.

7. Withdraw cash from ATMs

Use your physical card at ATMs — always select Credit. Fees and daily limits apply.

Common questions

Do I have to upload a receipt for every transaction?
It depends on your company’s policy. Budgetly sends receipt reminders if one is missing. An admin can mark a transaction as “Receipt not needed” if applicable.
Can I edit a transaction after it's been synced to Xero?
Changes made in Budgetly after sync are not pushed to Xero. Edit transactions before syncing.
How do I know which budget I'm spending from?
Check the Current budget shown on your card in the app or on the card detail page on desktop.
