When you sync transactions from Budgetly to Xero, each transaction carries a rich set of data — far more than a standard bank feed.
What Budgetly sends to Xero
| Budgetly data | Xero destination | Details |
|---|---|---|
| Transaction | Bank Transaction | Amount, date, and reference created as a bank transaction in your connected Budgetly bank account. |
| Merchant name | Contact | The merchant is created as a Xero contact (or matched to an existing one). |
| Category | Chart of Accounts | Your Budgetly category maps to a Xero account. Set up the mapping in Settings → Categories. |
| GST | Tax amount | The GST amount (extracted automatically or entered manually) is included on the transaction line. |
| Receipt | Attachment | Uploaded receipts are attached to the Xero bank transaction automatically. |
| Tags | Tracking Categories | Budgetly tags map to Xero tracking categories. See Update tags from Xero. |
| Description | Transaction description | Includes the merchant name, budget name, user’s full name, masked card number, and any notes. |
Tip: A standard bank feed gives Xero an amount and something like “VISA PURCHASE”. Budgetly gives the merchant name, category, GST, receipt, budget, user, tags, and notes — all in one sync.
What syncs in each direction
| Direction | Data |
|---|---|
| Budgetly → Xero | Transactions, merchant contacts, receipts (attachments), categories, GST, tags, descriptions |
| Xero → Budgetly | Chart of accounts (for category mapping), tracking categories (for tag mapping) |
Important: Changes made to a transaction in Xero after sync are not reflected back in Budgetly. Edit transactions in Budgetly before syncing for the most accurate data.
The transaction description
Each synced transaction includes a multi-line description in Xero:
Merchant name
Budget name
User full name (****1234)
Notes (if any)
This makes it easy to identify who spent what, from which budget, and on which card — directly in Xero.
