Understanding user roles and permissions

Budgetly has three user roles, each with different levels of access. Admins can change a user’s role at any time.


User roles

RoleWhat they can do
AdminFull access — manage users, budgets, cards, transactions, bills, suppliers, company settings, integrations, billing, and statements.
UserSpend from assigned budgets, view their own cards and transactions, upload receipts, request money.
AccountantRead-only access focused on reconciliation — view transactions, budgets, and statements. Cannot spend or manage users.

How to change a user’s role

  1. Click Users in the sidebar.
  2. Click on the user you want to update, then click Edit user.
  3. Select the Role tab.
  4. Choose the new role.
  5. Click Save.

Key permissions by role

  • Manage users — Admin only. Add, edit, and deactivate users.
  • Manage all budgets — Admin only. Create, edit, and archive any budget.
  • Manage own budgets — Admin and budget owners. Edit budgets they own.
  • Manage cards — Admin can manage all cards. Users can manage their own.
  • Manage transactions — Admin can edit all transactions. Users can edit their own.
  • Manage bills — Admin and users with bill access.
  • Manage integrations — Admin only. Connect and configure Xero.
  • Manage billing — Admin only. View and change subscription plan.
