Admins can add new users to Budgetly and assign them a role from the Users page.
Important: If you encounter any errors when trying to add or reactivate a user, contact support for assistance.
How to add a user
- Click Users in the sidebar.
- Select Add user in the top right.
- Toggle the roles to assign under Assign roles:
| Role | What they can do |
|---|---|
| Admin | Full access — manage budgets, approvals, users, cards, bills, suppliers, account settings, and billing |
| User | Make card and bill payments, update their own expenses using allocated budgets |
| Accountant | View all budgets, manage all expenses, configure Xero, and generate statements |
- Enter the user’s details:
- First name
- Last name
- Date of birth
- Mobile
- Click Add user.
The user receives an email to set their password and log in.
Tip: You can assign multiple roles to one user. If multiple roles are selected, the user receives the combined permissions of all assigned roles.
Common questions
Can I add a user without issuing a card?
Yes. Adding a user doesn’t require issuing a card. You can issue a card at any time later from the Cards page.
What if the user's email already exists on another account?
Budgetly requires unique email logins per account. If the user needs access to multiple companies, see How to switch between company accounts.
Can I assign multiple roles to one user?
Yes. Toggle on multiple roles and the user receives the combined permissions.
