9 things to know about transactions in Budgetly

Transactions are the record of every card payment and bill payment in Budgetly. Here’s everything you need to manage them.

1. Edit a transaction

Change the receipt, GST, budget, category, tags, or notes on any transaction. Users can edit their own; admins can edit all.

2. Upload receipts and extract GST

Budgetly’s AI automatically extracts GST from uploaded receipts. You can also enter GST manually or correct extracted values.

3. Tag transactions

Add custom labels to transactions using up to three tag groups. Tags help with reporting and Xero sync.

4. Handle missing categories

Your Dashboard flags transactions without a category. Categorise them to keep reports accurate and Xero sync working.

5. Export transactions as CSV

6. Understand transaction limits

Per-transaction, daily, contactless, ATM, and international limits apply to all Budgetly cards.

7. Understand declined transactions

Cards can be declined for insufficient funds, incorrect PIN, CVV lockout, or merchant issues. A $1.00 fee applies for insufficient-funds declines only.

8. Dispute a transaction

If you don’t recognise a charge, freeze the card, check with the merchant first, then lodge a dispute with Budgetly if needed.

9. Protect against fraud

Keep your card safe with secure practices — strong passwords, MFA, checking ATMs for skimmers, and shopping on HTTPS sites.

Common questions

Can I delete a transaction?
No. Transactions are a permanent record. You can edit the details but the transaction itself stays.
Do edits in Budgetly sync to Xero?
No. Changes made after a transaction has been synced are not pushed to Xero. Update both systems if needed.
Where can I see why a transaction was declined?
Open the transaction in Budgetly — the decline reason is listed. If the transaction doesn’t appear, the merchant blocked it before it reached Budgetly.
