8 things to know about budgets in Budgetly

Budgets are the core of spend control in Budgetly. They set limits on how much your team can spend and how often those limits reset. Here’s everything you need to know.

1. Create a budget

Set a name, limit, cycle, and add users. Choose between shared or individual limits to control how the budget is split.

2. Understand budget cycles

The cycle controls how often the spending limit resets. Essentials plans get one-time, weekly, and monthly. Premium adds daily, fortnightly, and custom reset dates.

3. Edit a budget

Change the name, limit, cycle, members, or limits at any time. The edit form is the same layout as the create form.

4. Add and manage budget members

Add users and owners to a budget. Users spend from it; owners can edit it and see all transactions.

5. Top up or reduce a budget

Increase or decrease the available balance for the current cycle without changing the budget’s limit. Useful when a team needs extra funds mid-cycle.

6. Top up individual users

When using individual limits, you can top up a specific user’s balance without affecting others. The top-up resets naturally at the next cycle.

7. Pause and resume a budget

Temporarily block all spending from a budget without archiving it. Resume when you’re ready.

8. Archive a budget

Remove a budget from your active list when it’s no longer needed. Archived budgets retain their data and can be unarchived later.

Common questions

Can a user be in more than one budget?
Yes. Users can be members of multiple budgets, each with its own limit and cycle.
What's the difference between pausing and archiving?
Pausing temporarily blocks spending — you can resume any time. Archiving removes the budget from your active list entirely, though it can be unarchived if needed.
Can a budget owner do everything an admin can?
Budget owners can edit the budget and see all transactions within it, but they can only approve top-ups within the budget’s available balance. Admins have no such restriction.
Which budget cycle should I choose?
Monthly is the most common. Use weekly for tighter control, one-time for single events, and daily or fortnightly (Premium) for specialised needs. See Understanding budget cycles for details.
