Who can use bulk actions?
Bulk actions are available on all plans. If you can access transactions on desktop, you can use bulk actions.
- Admins can update all transactions across the organisation
- Users can update their own transactions
- If a user is a budget owner, they can also update transactions created by other users who are members of that budget
What actions can I apply in bulk?
You can:
- Update or remove categories
- Update or remove tags
- Reassign budgets
- Mark transactions as receipt not required
- Selectively sync to Xero
- Export selected transactions
How does bulk updating work?
Bulk updates always start with a clean slate. This means:
- if you select a value for a field (like budget, category, or tag), that value will replace the existing value for all selected transactions
- if you leave a field blank, the existing value for that field will be removed from all selected transactions
This logic applies uniformly across all selected transactions. There’s no partial update or merge — what you choose is what gets applied.

How many transactions can I select at once?
You can select either 25 or 100 transactions at a time.
This gives you better visibility and makes it easier to review and verify changes before applying them.
Can I apply changes across multiple pages of results?
Not currently. You can only update transactions visible on the current page (25 or 100 per page).
We recommend using filters to narrow your view and work in manageable batches.
What filters can I use before applying bulk actions?
All available filters can be used to narrow down the transaction list before selecting items to update.
This includes budget, date, category, tag, receipt status, and more.
Can I bulk update receipt status only?
Yes. You can mark receipts as "not required" or clear that status for selected transactions.
This is helpful when reconciling exceptions or managing older transactions.
Can I undo a bulk action?
Not yet. A confirmation step is shown before applying any bulk update.
We recommend reviewing your selection carefully before confirming.
How are bulk actions logged?
Every update is logged at the transaction level. This ensures full visibility and traceability of what was changed, when, and by whom.
You can view the full action log in a new window so you can review changes without interrupting your current workflow.
How do I see why something didn’t update?
If a transaction can’t be updated, it will appear in the action log with a clear reason provided.
We log each transaction individually, so you can see exactly what was skipped and why.
Common reasons include:
- the user isn't a member of the selected budget
- the budget doesn't have enough available funds
- the budget is in a locked reporting period
- insufficient permissions to update the transaction
- transaction is not ready to sync to Xero
- transaction has already been synced to Xero
What might prevent updates from applying during a bulk action?
Most update failures are due to budget conditions. A transaction won't update if:
- the user isn't a member of the budget
- the budget doesn't have enough available funds
- the budget is in a locked reporting period
How does Xero handle updates during a bulk action?
- Xero skips transactions that aren’t ready to sync
- Xero also skips transactions that have already been synced
- If a new receipt is added to a previously synced transaction, that receipt will still be sent to Xero
This ensures only relevant changes are pushed.
Can I choose which transactions to sync to Xero?
Yes. You can selectively sync only the transactions you’ve reviewed. There’s no need to sync everything marked as 'ready'.
